Waystar Electronic Claims Management

Waystar is one of the clearinghouses we’ve partnered with to allow you to submit your claims electronically. 

Accessing Waystar

Once you’ve begun your onboarding process, you’ll receive your Waystar username and temporary password from your Onboarding Specialist.  When you log in for the first time, you will be prompted to change your password.

Login to Waystar at https://login.zirmed.com/UI/Login.

The Waystar web portal can be used to do the following: 

  1. Check Claim Status
  2. Locate Claim Rejections
  3. Submit Proof of Timely Filing
  4. Locate Payments and Remits

Check Claim Status

After you’ve billed electronic claims in WebPT Billing, you can check the claim status in Waystar. 

  1. From the Claim Processing menu, select the Professional Claims or Institutional Claims tab and click Claims.
  2. Use the left Search menu to narrow your results. From the Workflow Stage dropdown, select All Claims. From the Status dropdown, select All. Enter any other search criteria then click Search. NOTE: The Claim Number field is for the Patient Account Number.
  3. Search results will show all claims that have billed out. Hovering over the Status for each claim will show you more detail about the status. Hovering over the claim line itself will produce action buttons for that line.
    1. View: This allows you to see the HCFA 1500 form.
    2. Notes: This allows you to add notes which will only display in the History of the claim.
    3. History:  This allows you to see all claim history such as when the claim was billed out to the payer and when the claim was accepted by the payer. The History option is also where you can find your Proof of Timely Filing which will be discussed later. 
Claim Status Inquiry Preconditions

If the Claim Status link is grayed out, you cannot submit an inquiry because the claim has not met these preconditions:

  1. User has Claim Status permission of Check Claim Status
  2. Payer supports real time 276/277*
  3. Latest claim instance has one of the following statuses: 
  • Sent to Intermediary
  • Delivered to Intermediary
  • Received by Intermediary
  • Accepted by Intermediary
  • Forwarded by Intermediary
  • Sent to Payer
  • Delivered to Payer
  • Received by Payer
  • Accepted by Payer
  • Held by Payer
  • Paid by Payer
  • Sent to Repricer
  • Received by Repricer
  • Accepted by Repricer
  • Held by Repricer
  • Priced by Repricer

* For a list of payers who support real time 276/277 go to the login screen, click Resources/Supported Payers, and then click the View Our Payer List button. Change the application dropdown to Claim Status, and click Search.

Locate Claim Rejections

The process for locating claim rejections in Waystar is very similar to the process for checking claim status of electronic claims. 

  1. From the Claim Processing menu, select the Professional Claims or Institutional Claims tab and click Claims.
  2. Use the left Search menu to narrow your results. From the Workflow Stage dropdown, select All Claims. From the Status dropdown, select All Rejections then click Search.
  3. Clicking the Show Claim Messages hot link from the menu bar above the search results will provide more details about the rejection for each claim line below. 

Submit Electronic Proof of Timely Filing

If you need to submit a claim appeal and with an electronic Proof of Timely Filing, you can accomplish this using the Claim History page.

  1. Hover over the claim line from the search results page and click the History button.
  2. The Claim History will display in a new window. Click the POTF button. 
  3. A second window displays with a letter that details all the claim details and tracking information. Print this letter and include it as Proof of Timely Filing when submitting appeals.


Locate Payments and Remits

Waystar also makes it easy to look up Payments and Remits. 

  1. From the Claim Processing menu, select the Remits tab and click Remits or Payments:
  2. Remits: Select Remits to look for individual payments per account. 
    Payments: Select Payments to look for a total check; this includes all accounts paid in the check.

  3. All remittances or payments will appear in the results box depending upon your selection.
